The Contract Specialist is responsible for generating accurate and timely legal contract documentation for the GATX Rail and Locomotive commercial organizations, SAP entries for invoice generation from executed legal documents and maintaining the customer database program. The Specialist acts as a point of contact for GATX internal questions regarding details of SAP processes, personnel entries, rental billing records and researching SAP issues/errors associated with Salesforce, Customer Portal, ECM Open Text, DocuSign, etc. This position is expected to develop into a subject matter expert and should be detail oriented with strong problem-solving skills regarding railcar and locomotive assignment/rental billing issues.

 

Qualified candidates who are currently Wells Fargo Rail employees will be given priority consideration over other external applicants.

Responsibilities

Lease Contract Management

  • Prepare various types of legal contracts for railcar and locomotive leasing including, but not limited to, net/full lease conversions, release and reassignments, lease termination agreements and lease transfers related to mergers and acquisitions.
  • Proofread and edit all lease documents prepared by the Contract Team to ensure relevant contractual clauses are present.
  • Resolve urgent customer inquiries on a wide range of issues. Work with appropriate ASL, Account Receivable representative to ensure customer requests and/or questions are resolved satisfactorily while maintaining strict adherence to SOX processes.

Management of SAP, DocuSign, Salesforce and ECM Contract Systems

  • Working with the Contract Team to ensure month-end completion of all operations related to (including renewals, assignments, amendments and transfers) billing of active lease contracts in SAP, Salesforce and ECM.
  • Update customer name and contact changes in SAP, Salesforce, DocuSign and ECM as it pertains to rental and non-rental customers.
  • Maintain clause library in DocuSign, Master Contract details in Salesforce and online templates under ISITE.
  • Process adjustments for rate changes, retroactive lease transactions and restructured deals.
  • Responsible for initiating invoices in SAP per the commercial agreements, recording customer liability and responsibility items.
  • Ensure Salesforce, SAP and Locomotive MFSR (Monthly Fleet Status Report) data are synchronized.

Maintain SOX required controls

  • Ensure appropriate internal approvals are received from Investment Risk Management, as required.
  • Maintain contract files in accordance with Records Retention policies.
  • Provide reports and documents to internal/external auditors as well as explanations of process and initial order request.

Qualifications

  • Bachelor’s degree
  • 1-3 years of contracts administration, legal or other relevant experience required
  • Paralegal certification strongly preferred
  • Railcar and locomotive contract experience
  • Strong PC skills with knowledge of Microsoft Applications (Excel, Word, PowerPoint and One Note), ECM (open text), DocuSign and Salesforce
  • Exceptional understanding of SAP
  • Basic Accounting experience related to solving invoicing issues

This is a hybrid position that will require the employee to work in the office at least 3 days a week throughout the year.

Min

USD $59,600.00/Yr.

Max

USD $69,200.00/Yr.

 

This role may be eligible to participate in the Company’s short-term incentive plan, the details of which will be provided to the applicant upon hire.

 

This range is a reasonable estimate and takes into account several factors that are considered in making compensation decisions, including, but not limited to, geographic location, skill set, experience, education, training, internal equity, and other business needs.
